How to charge a restaurant bill to a hotel room (and settle it at checkout)

By HostAir · Last updated

Short answer

Charging to the room means an in-house guest’s restaurant bill is added to their room account (the folio) instead of being paid at the table. The guest then pays for food and stay together at checkout. It works when only checked-in rooms can be charged and every charge is visible on the folio.

What “charge to room” means

A guest staying with you eats at your restaurant. Instead of paying after the meal, they ask staff to put it on their room. The restaurant bill is posted to the guest’s folio — the running account of everything they owe for the stay — and settled when they check out.

For the guest it is convenient: no cash or card at every meal. For the hotel it can mean higher restaurant spend from in-house guests — as long as nothing gets lost between the restaurant and the front desk.

When to allow it

  • Only for guests who are checked in. Walk-in diners and guests who have already checked out should pay at the table.
  • Only for the room the guest is actually staying in. Confirm the room number and the guest’s name before posting.
  • Only after the guest’s identity was recorded at check-in, so there is no doubt about who owes the bill.

The step-by-step flow

  1. The guest finishes the meal and asks to charge it to their room.
  2. The server confirms the guest’s name and room number against the list of checked-in rooms.
  3. The bill is posted to that room’s folio instead of being paid at the table.
  4. The charge appears on the folio straight away, with the date and the bill details.
  5. At checkout, the front desk shows the folio — room nights plus restaurant charges — and the guest settles everything together.

Controls that prevent losses

  • Restrict which rooms can be charged: only rooms that are currently checked in.
  • Decide which staff are allowed to charge bills to rooms, and keep that permission tight.
  • Have a clear way to fix a bill posted to the wrong room, so the correction is recorded instead of handled with a note.
  • Make every restaurant charge visible on the folio before checkout, so nothing is discovered after the guest has left.
  • Check the folio with the guest at checkout. Disputes are easiest to settle while the bill details are in front of both of you.

How GST works when a bill is charged to the room

Charging to the room changes when the guest pays, not what they are charged. The restaurant bill keeps the GST of a restaurant bill, and the room charges keep the GST that applies to accommodation. Each appears on the folio as its own line. Check the current rates with your accountant or the official GST portal.

How HostAir handles it

In HostAir’s Stay + Dine plan, staff choose Charge to Room when settling a restaurant bill — from the web console or the captain app — and pick from the rooms that are checked in. The charge appears on the guest’s folio, a bill charged to the wrong room can be moved to the right one, and the guest settles room and restaurant charges together at checkout.

Frequently asked questions

Can walk-in diners charge their bill to a room?
No. Only guests who are checked in should be able to charge to a room. Everyone else pays at the table.
What if a bill was charged to the wrong room?
Move it to the correct room before checkout and keep a record of the correction, so the wrong guest is never asked to pay for it.
Does the guest need to sign anything?
Many hotels ask the guest to sign the restaurant bill when charging it to the room. It makes disputes at checkout much easier to settle.
How is GST handled when food is charged to the room?
The restaurant bill keeps its own GST and the room charges keep theirs; both appear as separate lines on the folio. Confirm the current rates with your accountant.
What if the guest disputes a charge at checkout?
Show the folio line with the bill’s date and details. A signed bill copy or the original order usually settles it quickly.
