Trust & security

Built for your busiest Saturday night

When 40 tables are waiting, your software can’t be the thing that breaks. Here is what happens behind the scenes on a normal day at your restaurant — and how we keep it running and your data safe.

A day with HostAir

What we do while you serve

  1. 3:00 PM

We ship an update. You don’t notice.

Before any update goes live, we back up your data and check the backup can actually be read back. The new version then starts up next to the old one, and only once it passes its health checks do we switch your outlet over to it. No “system under maintenance” screen in the middle of lunch service.

  2. 8:30 PM

    Every table is full.

This is the hour that matters, so the system is built to look after itself. If the server process ever stops, it restarts on its own within seconds — nobody has to wake up and press a button.

  3. 9:15 PM

    A captain gives a 20% discount.

It goes on the bill — and on the record. Discounts, revised bills and payment changes are saved with who did them and why, so tomorrow morning you can see exactly what happened at table 7.

  4. 11:45 PM

    Closing time.

Your sales, item and payment reports are ready. Download them as CSV for your accountant whenever you want — your numbers are yours, and they leave with you if you ever do.

Your data

Six locks on your restaurant’s data

Your menu, your bills, your customers’ details — this is how we protect them.

  • Your data stays yours

Each restaurant’s data is kept separate from every other restaurant on HostAir.

  • One login per person

Every staff member has their own login, and their role decides what they can see and do.

  • Passwords are never stored

We keep only a scrambled (bcrypt-hashed) version. Not even our team can read your password.

  • Encrypted connections

Everything between your devices and HostAir travels over HTTPS, so it can’t be read on the way.

  • Limits against abuse

Repeated requests from one place are slowed down automatically, which blunts password-guessing and floods.

  • A trail you can trust

Money-sensitive actions — discounts, revised bills, payment changes — record who did them and why.

Straight talk

Three things we ask from you

Security is a partnership. We handle the servers; these three habits handle the rest.

  • 1

    Keep a backup connection

HostAir is an online system and needs internet to take orders. For a busy outlet, keep a mobile hotspot ready as a second connection.

  • 2

    Close logins when staff leave

Mark a staff member’s login inactive in user management the day they leave.

  • 3

    Don’t share passwords

Give every person their own login. Then the audit trail tells you who really did what.
