KOT vs KDS: which does your kitchen need?

By HostAir · Last updated

Short answer

A KOT (kitchen order ticket) is a printed slip that tells the kitchen what to cook. A KDS (kitchen display system) shows the same orders on a screen. Small kitchens often manage with printed KOTs; busier ones add a screen to see what is pending at a glance. Many use both.

What is a KOT?

A KOT is the slip the kitchen works from. When a captain takes an order, a ticket prints in the kitchen with the table number, the items, quantities and any notes — “less spicy”, “no onion”. The chef cooks from the ticket and the server matches it to the table when the food is ready.

It replaces handwritten chits, which are easy to misread, lose or forget on a busy night.

What is a KDS?

A KDS shows kitchen orders on a screen instead of — or as well as — on paper. Each order appears as a card with its items. Kitchen staff can see every open order at once and mark items as they progress, so nothing sits forgotten under a pile of slips.

When are printed KOTs enough?

  • Your menu is small and orders arrive at a steady pace.
  • One or two cooks handle everything from a single cooking area.
  • Your team already works well from slips and you mainly want to stop handwriting them.

When does a kitchen screen help?

  • Many orders are open at once, especially at weekend peaks.
  • Orders get forgotten or cooked twice because slips go missing.
  • You want to see which items are still pending and which are urgent without walking the line.

Can you use both?

Yes, and many kitchens do. The printed KOT stays with the dish for plating and service, while the screen gives the head chef a view of everything open. Start with printed KOTs, and add a screen when the pace makes slips hard to manage.

How does HostAir handle KOTs and the kitchen screen?

In HostAir, KOTs print the moment an order is confirmed, through the HostAir printer app on a Windows or Mac computer at the counter. The kitchen screen is a web page that shows running KOTs as cards, with each item’s status and priority flags for urgent orders. Both are included in the Restaurant and Stay + Dine plans.

Frequently asked questions

Do I need a special printer for KOTs?
A standard thermal receipt printer is enough, as long as its Windows or Mac driver is installed on the computer that runs your printing software. Check with your software provider before buying.
Can KOTs and bills print on different printers?
Yes — many restaurants keep a KOT printer in the kitchen and a bill printer at the counter. In HostAir each printer is set up with a KOT or bill role, so tickets and bills always go to the right one.
Is a tablet good enough for a kitchen screen?
For most kitchens, yes — what matters is a screen large enough to read from a step away, placed where it stays clear of heat, oil and water.
Can captains send orders straight to the kitchen?
With a captain app, yes. The order taken at the table reaches the kitchen as a KOT without anyone walking a slip over.
Should a KOT show the price?
Usually not. The kitchen needs items, quantities, notes and the table; prices belong on the bill.
